We have an open position in our Gillette office for an administrative assistant.

This position could be a great fit for you if you:

  • Can work on multiple projects and meet deadlines by setting priorities with work projects.
  • Demonstrate a strong ability to manage multiple projects and meet deadlines.
  • Have the ability to work independently and as part of a team.
  • Are familiar and efficient with a variety of office machines.
  • Are detail oriented.
  • Have the ability to work under extreme pressure.
  • Demonstrate flexibility to work additional hours as needed.
  • Have valid driver’s license.
  • Have proficiency with Microsoft Office and have strong skills in Excel and Word.
  • Have strong written and oral communication skills.
  • Demonstrate strong interpersonal skills, with the ability to establish and maintain effective working relationships with staff, partners, the public, and clients.
  • Can work in a high-volume, fast-paced work environment and prioritize projects based on deadlines.
  • Have a strong sense of urgency and excellent organizational skills.
  • Have a background in accounting, though it’s not required.
  • Have previous experience providing administrative support.
  • Can work overtime when needed.

So, what would you be doing in this position? You main duties will including:

  • Answering phones and transferring calls to staff.
  • Greeting clients and scheduling appointments.
  • Assisting the administrative team in the printing, processing, scanning, and filing of client information.
  • Distributing faxes.
  • Preparing daily deposit.
  • Updating phone lists and contact lists.
  • Stamping and sorting mail.
  • Stuffing envelopes and mailing letters for the administrative team or other staff members.
  • Typing for the administrative team or other staff members.
  • Performing wrap-up interview with clients about their tax returns.
  • Maintaining postage machine and credit card machine.
  • Sending information to clients through our secure site.
  • Maintaining front reception area.
  • Working with the entire administrative team to make sure project deadlines are met and workload is evenly dispersed.
